Shift and PTO calendar vs the visible tray
Plan weekday shifts and approve PTO on a Monday–Sunday grid. Tracked minutes still come from the Windows tray.
The calendar is the planned week: who is on, and who is out. The Windows tray is the recorded day. VisibleHours keeps those two facts on different screens on purpose. Adding a shift does not start the agent. Approving PTO does not hide the tray icon.
Read /features/calendar, then the signed-in calendar tutorial. Ask VisibleHours “calendar”, “open calendar”, “week view”, or “schedule” jumps to Calendar. “How to use calendar” or “calendar tutorial” opens Help. “Sync Google Calendar”, “Outlook certified”, “AI meeting bot”, and “please fill my calendar for me” are refused. Public Search stays on the feature page.
Plan the week, track the day
- Add a shift for a person and a date — start and end on that day’s cell.
- Add time off as PTO, sick, unpaid, or holiday. New rows start pending.
- Approve or deny. Approved days show on the Monday–Sunday grid.
- Click a shift to remove it if you entered the wrong hours.
Tracked minutes still come from the Windows tray agent. The calendar does not invent activity. If someone is on PTO and the tray is running on a company PC, you will still see apps and idle — that is honest, not a hidden schedule.
What this is not
- Not a timesheet. Approved payroll weeks stay on Timesheets.
- Not a project allocation. Client codes stay on Projects.
- Not tracked time and not meetings. Cells are the plan you typed.
- Not a day view. The live screen is a Monday–Sunday week grid.
- Not Google Calendar sync, not Outlook certified, and not an AI meeting bot.
- Not automatic scheduling. You type the hours.
- Not a second tracker. The tray still records the company PC.
- Shifts stay inside your organization. Another org cannot see them.
